ABOUT THIS ROLE:
The Rector’s Assistant will manage and complete the Rector’s administrative tasks in an effort to allow him to be:
More productive and efficient in his work.
Free to devote more of his work hours to prayer, study, and writing.
Better able to support the work of the Staff, Vestry, and Diocese.
More relationally available to counsel parishioners and coach the staff.
WHAT YOU WILL DO:
Communication
Emailing, calling, texting on behalf of the Rector.
Monitor, organize, and prioritize emails and messages, responding to or flagging them as needed. Draft and edit emails, letters, and communications on Rector's behalf, ensuring clarity, professionalism, and timely responses.
Calendar
Managing the Rector’s schedule (Google Calendar, Calendly).
Ensuring that the Rector is not over scheduling his calendar and is planning appropriate preparation time for prayer, study, and writing.
Coordinating with the Rector’s wife to ensure that the Rector is scheduling enough time for important family events.
Assist in prioritizing tasks to align with Rector's strategic objectives, helping him focus on activities with the greatest impact.
Travel
Coordinate and arrange travel itineraries, including flights, accommodations, and logistics, ensuring all details are well-planned and seamless.
Credit Card Management
Manage the Rector’s credit card (Kleer Kard) account with proper receipts for monthly expense reporting.
Content Creation
Create 5-7 Instagram posts per week, drawing from the Rector’s writing, preaching, etc.
Film + edit video message from the Rector to the parish or another audience.
Drafting & sending a weekly newsletter via MailChimp
Special Projects
Assist with next steps for long-range projects.
Example: Recruiting a resident for the Made to Flourish Pastoral Residency
Running Errands
TIME COMMITMENT
Average of 2 hours of in-person meetings + 8 flexible hours of work per week.
Weekly 30-60 min. meeting on Monday morning with the Rector to review the upcoming week and any long-range planning.
Weekly Staff Meeting, Tuesdays, 9:00-10:00 a.m.
Other Required Events
Monthly All-Staff Lunch, first Tuesday of the Month, 12:00-1:00 p.m.
Quarterly Staff Off-Site Days, 9:00 a.m.-3:00 p.m.
Annual Staff Retreat (mid-September)
Annual Staff Christmas Party
PERSONALITY/DISPOSITION TO THRIVE IN THIS ROLE

Emotional maturity to navigate the complex relationships of parish ministry.

SKILLS YOU WILL NEED TO BRING:
Bachelor’s degree preferred.
High organizational skill and executive function.
Tech savvy with email, texting, iPhone camera, Instagram, Mail Chimp, Notion, Slack, Google calendar, etc.
Desire and ability to problem-solve before asking for help.
